Information we may collect
Depending on the service, we may collect contact details, address information, school or organisation information, programme requirements, communications, attendance or learning records, and technical information needed to operate the website or portal.
Why we use information
We use information to respond to enquiries, administer requested services, operate learning experiences, maintain security, meet legal obligations and, where permitted, communicate relevant updates.
Lawful basis
Processing may rely on performance of a contract, steps requested before entering a contract, legitimate interests, legal obligations or consent, depending on context.
Children and learners
Where services involve children, information should be provided by or handled with an appropriate parent, guardian, school or authorised organisation where required. We aim to limit access to those who need the information for education, administration or safeguarding.
Sharing
We do not sell personal information. Information may be shared with service providers or authorised delivery partners where necessary to operate services, subject to appropriate safeguards.
Session recordings and quality assurance
For selected Chiswick educational sessions, SED Hub may make audio and/or video recordings for internal teaching quality review, tutor supervision and educational oversight, where separate parental consent is freely given and is the relevant lawful basis. Optional routine recording consent may be refused without preventing an application and can be withdrawn prospectively by contacting [email protected]. Where a recording is necessary for a specific safeguarding concern or legal obligation, the lawful basis and necessity are assessed separately. Recordings are restricted to authorised personnel and appropriate service providers under safeguards, and are not used for marketing without separate permission. Routine quality-review recordings are ordinarily deleted within 30 days; an identified complaint, safeguarding incident or legal need may justify longer documented retention. Parents and eligible pupils may request information about their data rights and the applicable processing through [email protected].
Retention
Information is retained only for as long as reasonably necessary for the purpose collected, contractual or educational records, dispute handling, safeguarding, accounting and applicable legal requirements.
Your rights
Subject to applicable law, you may have rights of access, correction, deletion, restriction, objection, portability and withdrawal of consent. You may also raise a concern with the competent data-protection authority.
